Receptionist
AFSCME District Council 36 is seeking candidates for a full time Receptionist opening.
The Receptionist is the initial staff member to greet, receive and announce/route members and other visitors to Council 36 and is key to creating a positive and welcoming culture at the Council. The receptionist additionally answers phone inquiries, many of which may be calls from members experiencing worksite stress, and is therefore counted upon to receive these calls in an empathetic and patient manner and ensure that members’ requests are routed competently and compassionately. Secondary duties include assisting with mailing-related projects, maintaining office equipment, conference room calendaring and set up, routine supplies re-ordering, ordering food for internal meetings, tracking staff expenses and inventories.
Ideal candidate will possess excellent interpersonal and communication skills, is skilled working as part of a team, and possess the ability to work independently but be able to recognize when to contact supervisors for assistance. Other requirements include typing speed of 45 wpm, and basic proficiency in Microsoft Outlook and Word and Excel. Working knowledge of office equipment (copiers, postage meter, printers, fax machine) is essential. Must be able to lift up to 20 pounds, sit for long periods of time, and walk stairways. Minimum of 60 units+ of undergraduate coursework completed preferred. Must have accurate typing skills with a speed of 45 WPM or better. This position is covered by the OPEIU collective bargaining agreement and offers excellent benefits including health and dental care plan, long term disability insurance, 401k, and a defined benefit pension. Salary range has been established at $22.28 to 26.74 per hour, depending upon experience.
Duties to include but not limited to:
Financial:
- Keeps record of credit card statements, and receipts stores in binder for audit
- Goes over credit card charges with Administrator before approval to pay balance.
- Copy and scan local membership deductions and backups
Servicing Council 36 Staff:
- Receives expense and activity reports from field staff, logs and turns in for approval.
- Orders supplies/ manages inventory
- Assists with technical support by connecting desktop to the server, printer, and Wi-Fi.
- Coordinates with IT Department for troubleshooting etc.
- Assists with setting up laptop and cellular devices
- Books travel and arrange housing for conferences and meetings on request.
- Orders for business cards for staff and office supplies
Meeting Coordinator
- Prepares Agenda items for distribution: Agenda, minutes, financials, business office proposals, reports etc.
- Sends monthly reminders via email to designate groups.
- Set up meeting space, print out materials for meetings.
- Orders food on request
- Arrange housing and travel for board members upon approval.
- Manages monthly calendar for meetings
Business Office/ Assistant to Director:
- Distribute mail and packages to C36 and business offices.
- Reserve conference rooms and manage meeting calendar.
- Manages local mailing tracker to deduct charges from the local’s rebate checks (membership meetings, elections etc.)
- Manages registration lists for training.
- Assists with convention planning, sending out convention call notices, materials and credentials as well as keeping track of credentials.

- Complete the local charge form for local mailings.
- Manages Swag inventory.
- Receives/ mails local rebate checks to locals.

- Leased Equipment Maintenance: Pitney Bowes Postage Meter & Folding Machine, manages supply orders (tape, ink, sealer)
- Runs meter report for postage usage.
- Copier: registers users, performs general maintenance
- Manages supply (toner, waste toner basket) for all operating machines.
- Runs a report for paper usage upon request.
- Manages service order requests for satellite offices.
- Orders stationary supplies, manages inventory.
- Orders office supplies, manages inventory.
- Updates staff directory manages staff contact lists.
- Sets up service for desk phone lines, cellular devices, laptops.
- Requests service for shredder.
- Post job openings
- Manages officer updates in Union ware.
- Building Maintenance:
- Design/ assemble name inserts for mailboxes.
- Replace door batteries, manage user codes for tenants/staff.
- Design/ assemble name plates for offices/ suites.
- Requests for service/ inspections for repairs (plumbing, electrical)
- Manages proposals from vendors. (landscaping, janitorial)
- Orders Container/ trash for pick ups
- Manages/ Orders Janitorial supplies.
- Communicate with Janitorial Services to ensure that the cleanliness of the building is upkeeped.
- Manages shredding, requests for a shredder that is confidential to come in and provide a shredding service with the integrity to offer the security of the membership .
Membership:
- Mailings, receive design and print on envelopes, mail out membership meeting and officer election materials to members
- Provides a list of active members to local union officers upon request
- Keeps track of the report of local union officers, logs into union ware
- Assist with meeting blocks and calendar and conference room reservations
- Assist with email set up and IT technical difficulties
- Assists with access to the building
